How to Collect Guest Video Messages With a QR Code
A QR code can connect a celebration that lasts a few hours to memories worth revisiting. But a tiny code hidden in the decor isn't enough.
Start with a clear invitation
Don't write only “Scan me.” Tell guests what happens next: “Record a 30-second message for the couple” or “Share a funny birthday memory.”
Clear wording helps guests understand that the QR leads to a video message page, not a payment or complicated form.
Place it where guests naturally gather
Try the welcome table, photo booth, or table cards. Choose a well-lit location with a reliable internet connection. Print the code at a readable size with strong contrast.
Test the printed code on several phones. Avoid glossy or curved surfaces and provide a link as a backup.
Make the experience comfortable
Guests should be able to open the link, allow camera and microphone access, and record. Let them retry when possible.
Have someone available to help, but don't pressure guests or watch their recordings. Respect their privacy.
After the event
Keep the link and check the messages received. Decide who should have access and understand the service's retention rules.
RORAKAY lets organizers share an event page using a link or QR code to collect video greetings. Use a separate page for each occasion.
